Job Title

Service Desk Coordinator

Reports To

Team Leader

Job Purpose The Service Desk Coordinator provides administrative support across maintenance contracts, ensuring planned and reactive works are managed efficiently. The role supports engineers, subcontractors, customers and operational teams to ensure service delivery, compliance and accurate invoicing.

Key Responsibilities

  • Manage jobs through the CAFM system.
  • Schedule and coordinate reactive and planned maintenance works.
  • Liaise with engineers, subcontractors and suppliers to arrange attendance.
  • Raise purchase orders and process related documentation.
  • Communicate with customers regarding job updates and site access requirements.
  • Ensure all job records, reports and certificates are uploaded and maintained.
  • Prepare completed works for invoicing.
  • Update customer portals and internal systems with relevant information.
  • Monitor progress of maintenance activities and follow up outstanding actions.
  • Support the Service Desk and Administration teams during periods of absence or high workload.
  • Respond to customer enquiries via phone and email.
  • Assist with timesheets, invoicing, supplier queries and operational reporting.

Skills & Experience

  • Previous experience in a Service Desk, Helpdesk, Administration or Coordination role.
  • Strong organisational and communication skills.
  • Good attention to detail and ability to manage multiple tasks.
  • Experience using CAFM systems is desirable.
  • Proficient in Microsoft Office, including Outlook, Excel and Word.
  • Experience within Facilities Management, Engineering Services or Maintenance environments would be advantageous.

Qualifications

  • GCSEs (or equivalent) in Maths and English.
  • Administrative or customer service qualifications are desirable but not essential.
