Global Recruitment Privacy Policy

This recruitment platform is controlled by FUJIFILM Business Innovation Asia Pacific Pte Ltd (“we” or “us”). We are providing this privacy statement to explain how the Information (including Personal Data) which you are asked to submit will be used by us, by our affiliates, and by other companies in the FUJIFILM Business Innovation group in various countries (individually called a “FB-Co”, and collectively called “All-FB”), and how your consent will be obtained.

• Purpose of Collection & Processing

We collect and process the Information (including Personal Data) to:

(a) assess your suitability for the role for which you have applied;

(b) manage your application and communicate with you;

(c) conduct reference checks or background screenings (where allowed by local law);

(d) comply with legal/regulatory obligations (e.g., employment, immigration, tax);

(e) assess your suitability for vacancies within All-FB and inform you of future roles if your application is not successful.

CV, qualifications, certificates, language skills

• Resume attachments, portfolios, and any additional job-relevant documents.

Apart from the above Data, certain FB-Cos will require additional Data as set out at Table 1.

• Sensitive data (e.g., health records, criminal history, biometrics) may only be collected where permitted by applicable law, and where required, with separate explicit consent obtained through a dedicated consent mechanism provided by the relevant FB-Co.

3. Data Subject Rights

The provision of your Information (including Personal Data and, where applicable under local law, Sensitive Personal Data) is voluntary. You have the right, at any time, to choose not to provide your Information to us. However, certain Information is necessary for us to evaluate your application and progress through the recruitment process. If you choose not to provide such Information, we may be unable to assess your suitability or proceed with your application. Where local law requires consent as the legal basis for processing, your submission of the application and provision of Information shall be regarded as your voluntary consent, which you may withdraw at any time in accordance with “Withdrawal of Consent below” below.

Where FB-Co(s) process your Personal Data, you have the right to:

a) Be Informed - Be informed of the collection and processing of your Personal Data, including the purpose, scope, and legal basis, before or at the time processing begins.

b) Access - Access and obtain copies of your Personal Data held by FB-Co(s), along with information about how it is being processed.

c) Correction - Request correction or update of your Personal Data where it is inaccurate, incomplete, or outdated.

d) Erasure / Deletion - Request erasure, suspension, or removal of your Personal Data where it is no longer necessary for the purpose for which it was collected, where consent has been withdrawn, or where the data has been unlawfully processed — subject to applicable legal retention obligations.

e) Restriction / Objection - Restrict or object to the processing of your Personal Data in certain circumstances as provided under applicable law.

f) Withdrawal of Consent - Withdraw your consent to processing at any time, where processing is based on consent. Withdrawal shall not affect the lawfulness of processing carried out prior to withdrawal.

g) Data Portability - Request to receive your Personal Data in a structured, commonly used, and machine-readable format, and where technically feasible, to have it transmitted to another controller.

These rights may be subject to limitations or conditions under applicable laws and regulations. FB-Co(s) shall respond to data subject requests in accordance with the timelines and procedures required by the applicable data protection law in each jurisdiction.

Note

Certain jurisdictions may provide additional rights. Where local law grants additional rights beyond those listed above, the relevant FB-Co shall comply with such local requirements.

4. Retention

For successful candidates, we will retain your data (including Personal Data) in accordance with our internal retention policy, as permitted by law, and for the purposes of employment.

However, in the event that your job application is unsuccessful, the Information (including Personal Data) that you provide will be retained in our recruitment module database, so that the relevant FB-Co(s) you applied to / any FB-Co may inform you of future job openings that match your profile.

The information shall be retained for the periods set out in Table 2 below (depending on the FB-Co you have applied to). Once the applicable retention period has expired, your Information (including Personal Data) will be securely deleted or de-identified in accordance with our internal data retention and disposal procedures, unless a longer retention period is required or permitted by applicable law.

Information collected through our recruitment process is stored in our centralised recruitment system hosted in Australia.

5. Data Processors & Third‑Parties

We may engage third-party service providers (e.g., recruitment platforms, screening agencies), who may be considered Data Processors.

6. Security Measures

We implement appropriate organizational and technical safeguards including:

• Access control and authentication
• Encryption of sensitive data at rest/in transit
• Regular staff training on data protection
• Secure storage facilities and routine backups
• Identified breach response protocols
• Regular Vulnerability Scanning and Remediation
• Advanced Threat Intelligence and Respond to suspicious & malicious events

• Cross-Border Data Transfers

Your personal data may be transferred to and processed in jurisdictions outside the country in which you submitted your application.

In addition, your data may be accessed by or shared with other FB-Cos and authorized third parties located in the following jurisdictions where our corporate systems, recruiters, and hiring teams operate. (Singapore, Australia, New Zealand, Korea, Hong Kong, Taiwan, Philippines, Vietnam, Malaysia)

We ensure that any cross-border data transfers are carried out in accordance with applicable data protection laws, and appropriate safeguards are implemented to protect your personal data.

• User Consent & Opt‑Out Options

By ticking the box in the registration process and submitting your application, you acknowledge and, where required by applicable law, consent to:

• Collection, processing, storage, use, disclosure (including cross-border transfers)
• Sharing your data across All-FB and third-party processors
• The performance of reference/background checks where legally allowed.
• The transfer of your Information (including Personal Data) outside of your country of residence, as described in Section 8.

At any time during the job application process or the Retention Period, you may withdraw your consent, and request erasure, restriction, or correction. However, please note that such requests may have an impact on your application.

10. Governing Language

In the event of any conflict, inconsistency, or discrepancy between the English version of these terms and any translation thereof, the English version shall prevail.
